Job Description
The Surgical Coordinator is a key administrative team member in a busy, multi-surgeon private practice. This role is essential in ensuring a smooth and organized surgical process for both patients and providers. The Surgical Coordinator supports the clinical team by managing all aspects of surgical scheduling, documentation, insurance coordination, and patient communication. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, patient-centered environment.
Key Responsibilities:
Serve as the primary point of contact for patients regarding surgical procedures across multiple providers within the practice.
Provide patients with pre-operative instructions, procedure details, and ensure their understanding of the surgical process.
Coordinate scheduling of all surgical procedures, including surgeon availability, facility scheduling, and required pre-operative/post-operative appointments.
Communicate and collaborate closely with surgeons, clinical staff, referring physicians, surgical centers, and hospitals to ensure continuity of care.
Review patient charts and verify that all necessary documentation is collected prior to surgery, including consents, H&Ps, labs, imaging, and medical clearances.
Manage all insurance-related tasks including pre-authorizations, pre-certifications, and communicating surgical coverage details to patients.
Maintain an organized workflow while managing multiple surgeon calendars and patient cases simultaneously.
Uphold a professional, compassionate demeanor while supporting patients through the pre-surgical process.
Adhere to all practice protocols and regulatory guidelines, and report any compliance concerns to leadership.
Qualifications:
High School Diploma or GED required; additional administrative or healthcare-related training is a plus.
Minimum of two (2) years of experience in surgical scheduling or healthcare administration, preferably in a private practice setting.
Experience managing scheduling for multiple providers is required.
Required Skills and Competencies:
Proficient in Microsoft Office Suite (Word, Excel) and comfortable with electronic medical records (EMR) systems.
Strong working knowledge of medical terminology and surgical procedures.
Ability to prioritize and manage multiple tasks for different surgeons efficiently and accurately.
Excellent communication skills, both verbal and written, with a focus on patient education and service.
Strong attention to detail and organizational skills.
Self-directed with a proactive approach to problem-solving and task management.
Collaborative team player with a commitment to maintaining a positive work environment.
Calm and professional demeanor under pressure and in high-volume situations.
