Job Summary
The Staffing Assistant plays a key role in supporting the daily operations of the staffing office, with primary responsibilities in recruiting, onboarding, assignment creation, and dispatch. This role works closely with the Staffing Manager to ensure efficient administrative and operational processes. This role involves maintaining employee records, coordinating communications, and assisting with payroll processing. The position offers flexible hours and will require occasional evening and weekend work.
Key Duties and Responsibilities:
Recruitment and Onboarding
- Recruit prospective employees through social media, job boards, flyers, and referrals.
- Help applicants with the completion of online applications and onboarding documentation (W-4, I-9 forms, etc.).
- Assist with the upload of I-9 identification and other required employee documentation.
- Participate in the employee orientation process, including safety program introductions and job-specific training.
Administrative Tasks
- Help manage daily dispatch operations, including tracking employee transport and coordination.
- Enter and maintain accurate employee timecards and assist with payroll processing.
- Provide administrative support for vehicle safety, maintenance tracking, and scheduling inspections.
- Answer phones, handle customer service inquiries, and assist with office management duties.
Employee and Client Relations
- Respond to employee and client inquiries, ensuring a high level of customer service.
- Assist with managing employee relations, including advances, gas reimbursements, and bus passes.
- Help with client relations tasks, including answering questions about invoices and timecards.
Operational Support
- Support the Staffing Manager in organizing safety meetings and site visits.
- Help with maintaining the TempWorks On-Site Time Clock system by assisting with employee QR code cards, customer setup, and contact information updates.
- Assist with invoicing, including uploading timecards and ensuring accuracy in billing.
Compliance and Safety
- Support in the tracking and management of workers' compensation claims and unemployment claims.
- Assist in organizing safety meetings, employee safety training, and processing job-specific cut-sheets.
General Office Duties
- Assist with maintaining a clean and organized front office.
- Help manage office supplies, including placing orders when necessary.
- Handle any other tasks or projects as needed to ensure the smooth operation of the staffing office.
Qualifications:
- Valid Colorado Driver’s License in good standing (if required for the role).
- Proficiency in Microsoft Word and Excel.
- Excellent customer service and communication skills.
- Strong attention to detail, organizational skills, and the ability to prioritize tasks.
- Dependable, with a strong sense of urgency and ability to work in a fast-paced environment.
- Ability to work extended hours or weekends as needed.
Preferred Qualifications:
- Prior experience in an administrative, staffing, or HR-related role is preferred but not required.
- Experience with social media platforms for recruitment is a plus.
